For Delegates
  1. Registration and Payment:
    • All registration fees must be paid in full to confirm your registration.
    • Onsite rates will apply to registration on-site at the event.
  2. Cancellation and Refund Policy:
    • Cancellations received on or before August 1, 2024, will receive a full refund minus a $50 processing fee.
    • Cancellations received after August 1, 2024, are non-refundable.
    • Substitutions are allowed at any time; please notify the event organizers in writing before one week prior to the event.
  3. Data Protection:
    • By registering for this event, you consent to your personal data being used for event-related purposes and to receive updates and information regarding the Africa Coffee and Tea Expo.
    • Your data will be handled in accordance with our Privacy Policy.
  4. Code of Conduct:
    • All delegates are expected to behave professionally and respectfully towards others.
    • The organizers reserve the right to remove any delegate who does not comply with this code of conduct without a refund.
  5. Liability:
    • The organizers are not liable for any loss, injury, or damage to persons or property during the event.
    • Delegates are responsible for their own travel and accommodation arrangements and should ensure they have appropriate insurance cover.
  6. Event Changes:
    • The organizers reserve the right to make changes to the event schedule, speakers, or venue as necessary.
For Visitors
  1. Registration confirmation:
    • Registration is confirmed upon receipt of full payment. A confirmation email will be sent within 5 days business days.
  2. Cancellation Policy:
    • Cancellations must be made in writing and are subject to cancellation fees. Cancellations received before August 7th will receive a10% refund. No refunds will be given for cancellations made after August 7th,2024.
  3. Substitutions:
    • Substitutions are allowed with written permission from the original registrant and must be communicated by August 31st.
  4. Event Changes:
    • The organizers reserve the right to make changes to the event program, including speakers, sessions, and venue, if necessary.
  5. Liability:
    • The expo organizers are not liable for any loss, damage, or injury to persons or property during the event. Attendees are advised to carry their own insurance.
  6. Compliance:
    • Attendees must comply with all local laws, regulations, and venue policies. Failure to comply may result in expulsion from the event without a refund.
  7. Force Majeure:
    • The expo organizers are not responsible for any delay or cancellation of the event due to causes beyond their control, including but not limited to natural disasters or government regulations.
For Buyers
  1. Registration Confirmation:
    • Registration is confirmed upon signature of this form. A confirmation email will be sent within 5 business days.
    • Buyers will be required to confirm 10 meetings with exhibitors
  2. Cancellation Policy:
    • Cancellations must be made in writing before August 7th 2024,to help us in logistics.
  3. Event Changes:
    • The organizers reserve the right to make changes to the event program, including speakers, sessions, and venue, if necessary.
  4. Liability:
    • The expo organizers are not liable for any loss, damage, or injury to persons or property during the event. Attendees are advised to carry their own insurance.
  5. Compliance:
    • Attendees must comply with all local laws, regulations, and venue policies. Failure to comply may result in expulsion from the event.
  6. Force Majeure:
    • The expo organizers are not responsible for any delay or cancellation of the event due to causes beyond their control, including but not limited to natural disasters, or government regulations.
For Exhibitors
  1. Booth Assignments:
    • Booth assignments are made on a first-come, first-served basis. The expo organizers reserve the right to make changes to the floor plan and booth assignments if necessary.
  2. Payment:
    • Full payment is required to secure booth space. Payment must be received by 31st August 2024. Failure to make full payment by the due date may result in forfeiture of booth space.
  3. Cancellations:
    • Cancellation can only be made by writing officially to the ACT Expo Secretariat at secretariat@africacoffeeteaexpo.com
    • Cancellations before 7th August 2024 will be eligible for a refund, less ACT Expo administration cost. The refund will be held with ACT Expo and can be utilized in any future events. No cash refunds.
    • No refunds for cancellations made after 7th August 2024.
  4. Exhibit Installation and dismantling:
    • Africa Coffee and Tea Expo organizers are responsible for set-up, installation, and dismantling of exhibitors’ booths. All booths must be fully installed by September 11th and dismantled by September 15th.
  5. Branding: Branding of the booth is upon request and charged separately, promotional materials are excluded from the prices mentioned.
  6. Liability:
    • The expo organizers are not liable for any loss, damage, or injury to persons or property during the event. Exhibitors are advised to carry their own insurance.
  7. Compliance:
    • Exhibitors must comply with all local laws, regulations, and venue policies. Failure to comply may result in expulsion from the event without a refund.
  8. Force Majeure:
    • The expo organizers are not responsible for any delay or cancellation of the event due to causes beyond their control, including but not limited to natural disasters,or government regulations.
For Sponsors
  1. Payment Terms: Full payment is required upon submission of the registration form to secure sponsorship benefits.
  2. Cancellation Policy: Cancellations must be received in writing. Cancellations made more than 60 days prior to the event will receive a 50% refund. No refunds will be given for cancellations made less than 60 days prior to the event.
  3. Logo and Branding: Sponsors must provide high-resolution logos and branding materials within 10 days of registration. Failure to provide timely materials may result in the exclusion of the sponsor’s branding from promotional materials.
  4. Use of Space: The sponsor agrees to use the allocated space for promotional purposes that align with the event’s theme.
  5. Liability: The Africa Coffee and Tea Expo, its organizers, and venue are not liable for any loss, damage, or injury to persons or property caused by the sponsor or their representatives.
  6. Compliance: Sponsors must comply with all event rules, regulations, and guidelines provided by the event organizers.
  7. Force Majeure: The organizers shall not be responsible for any delay or cancellation of the event due to causes beyond their reasonable control, including acts of God, war or government regulations.
